Let's compare the ways HVAC companies handle inbound calls: staff dispatcher, external service with human-operators and voice AI agent. I put the pricing in one format: published rates, salary data, and full call transcripts. So you can decide in a couple of hours, and maybe save real money.
Let us imagine your office closes at six in the evening. But the phone does not know about this. At someone deep at night goes out of order,for example, the compressor of an air conditioner, the homeowner starts calling companies they googled, and the only important question - who will answer first. Here to help comes the call receiving service for HVAC-companies. It receives calls, which your employees cannot answer - at night, on weekends or in the period of peak load, for example, in July. That coverage costs money, and I tried to put the full cost picture in one place.
What I managed to find out. The cost of services of "human" operators starts from $235-$325 /per month, and further payment is charged per-minute(usually). AI services usually bill a flat monthly rate - around $500. Simple math: a staff dispatcher costs the company approximately $52 k-$65 k per year (with taking into account accompanying expenses). There are 3 ways to organize receiving calls. I evaluated each of them, including situations, when a given option stops making sense.
I did some research over the weekend and found that about 50% of people prefer to book HVAC service calls by phone, while around 12% prefer doing so online.

Start with who is calling. In 2025 the company FIELDBOSS surveyed clients about how they prefer to plan servicing of heating, ventilation and air conditioning systems. Around 50% chose the phone, 24% preferred text messages(introverts:), the remaining 12% book through a mobile application or widget/online-booking page. Data of the CallRail platform confirm this indirectly: 60% of clients find you on the internet, but still call, ignoring all chat-widgets and feedback forms, for which (for a minute! )you paid NOT SMALL money. And here is the most important moment, revealed during the survey of one thousand clients: 80% check presence of the online-booking function, before choosing exactly you. It is important for them to see this button. And then they take the phone into hands. If there is such a Button - this is a signal of trust, and the call - this is the deal itself.
So the question never stood like this: Will somebody answer? Somebody always answers - a person, an AI agent or voicemail. The question is what remains after completion of the call. A sticker with a note? An entry in the calendar? Or a real job in your system? Such is the hierarchy of solutions, and service providers are not in a hurry to clarify, which rung of that ladder they're actually selling:
Level 1 - Message-taking
The operator writes there the name, phone number, essence of the problem, and then passes information to you through SMS or email. Calling the customer back is still on you. And who is the caller? Probably, he is already dialing the number of the next company from the list. This is the standard level of service for most standard services.
Level 2 - External calendar booking
The service puts an entry into a planner like Calendly or whatever you use there. Here there is one reservation. Adding a meeting without checking busyness - hello, overlap with two orders for one Saturday. Two-way synchronization first checks the schedule. In any case, this calendar exists separately from your main dispatcher system, and not inside it.
Level 3 - Direct FSM booking
The call ends with creation of a normal request in a system like ServiceTitan, HouseCall Pro or FieldEdge. There are indicated the client, address, urgency and time/interval. Among traditional services this is met rarely and costs expensive. Not every call-center is capable of this. Access to services on the basis of AI is usually provided through integration by API or webhooks, this means, that under your system is understood any system with API support, and not just a limited list of known companies.

How much does an HVAC answering service cost per month?
Now this figure is not printed by any supplier. The store is of medium size, with 300 calls per month, 2.5 minutes each. This is 750 minutes.
AnswerConnect tariffs: base $325 plus 650 additional minutes by $1.65, which makes $1,398 per month. Ruby plan for 200 minutes: $705 plus 550 minutes by $4.70, approximately $3,290. A whole month. For answering to the phone!
This is already not a service, this is the salary of an employee working, let us say, part-time, paid by the meter. Look at this table for your month, your calls, average duration. Now you understand why the basic data plan is the least interesting indicator on the page.

What actually sells an HVAC answering service? Not good manners. Not greeting. The owner does not care, who will win in it, the owner needs, that the call was processed. So, here is what I would like to tell you about my own product. Demand a written estimate at your actual call count and call length. If they won't do the math, do it yourself off the rate card. And check for 90-day handcuffs.
